Cancellation policies protect operators from last-minute no-shows on trips that need confirmed headcount. Without a clear, enforced policy, guests cancel freely and you’re left eating costs — crew, fuel, food — on a trip that’s half-empty or gone.

Freebo lets you configure deadline-based cancellation and reschedule policies per product and enforces them automatically when a cancellation or reschedule is requested.

Setting up a policy

In your product’s Policies tab, define cancellation tiers by time-to-trip:

You can configure as many tiers as you need, with any percentage. Freebo checks the current time against the trip’s departure time at the moment of cancellation and applies the correct fee automatically.

Reschedule policies

Reschedule policies are separate from cancellation. You can allow free reschedules up to a deadline, or charge a flat fee for any date change. Rescheduling within 24 hours of departure might incur a $50 admin fee regardless of whether the guest later cancels.

Can I waive a cancellation fee for a specific guest?
Yes. Operators can override the fee at the time of cancellation in the dashboard — useful for repeat customers, weather-related cancellations, or genuine emergencies.
What happens to the fee when a guest cancels?
Freebo retains the cancellation fee from the guest's payment and issues a partial refund for the remainder. Both the fee retention and refund are recorded in the Formance ledger.
