Reservation Import

Switching booking platforms mid-season is painful when it means losing your reservation history. Guests show up referencing a booking you can’t find. Reports show a gap. Operators start parallel-running two systems just to have a paper trail.

Reservation import lets you bring existing bookings into Freebo so your dashboard is complete from day one.

Import process

1. Download the import template

   Go to Settings → Data and download the Freebo Reservation Import Template. It’s a pre-formatted CSV with all the columns Freebo expects — guest name, email, product, date, party size, payment status, and amount.

2. Fill it with your existing data

   Paste in your bookings from your current system or spreadsheet. Match fields to the template columns. Guest contact info, product references, dates, and payment amounts.

3. Upload and validate

   Upload the filled CSV. Freebo validates every row before writing anything — flagging missing required fields, unrecognized product slugs, or date format errors. Fix issues in the file and re-upload.

4. Confirm the import

   Once validation passes, review the summary (N reservations, M guests) and confirm. All records appear immediately in your dashboard, reports, and guest history.

What you can import

• Guest contact information (name, email, phone)
• Product and schedule mapping (must match existing products in Freebo)
• Reservation date, party size, and status
• Payment amounts and method (cash, card, etc.)
• Custom notes per reservation

Imported bookings behave like native ones

An imported reservation isn’t a dead record. Once it’s in Freebo, you can reschedule it just like a booking taken through checkout — including $0 and placeholder imports, which Freebo backs with a placeholder quote so they can move to a new date without a payment history to draw on. Guests who booked before you switched platforms get the same reschedule experience as everyone else.
