✦ Key takeaways

  • Log cash, check, card swipe, wire, or any custom method against any reservation
  • Issue partial or full refunds that flow through the Freebo ledger correctly
  • Every offline transaction updates the outstanding balance in real time

Not every charter guest pays by credit card online. Walk-in deposits, cash at the dock, company checks from corporate groups — these happen constantly in the tour and charter world. Freebo’s offline payments feature handles all of it without a separate system.

Recording a payment

Open any reservation and click Record Payment. Choose the payment method (cash, check, card swipe, wire transfer, or a custom label you define), enter the amount, add an optional note, and save. The outstanding balance updates immediately and the transaction appears in your ledger.

Any Payment method supported — including custom labels
Real-time Outstanding balance updates the moment you save

Offline payments can be partial — record a $500 deposit today, then the remaining balance when the guest shows up. Freebo tracks what’s owed at every step.

Issuing refunds

Offline refunds work the same way. Open the reservation, choose Issue Refund, specify the amount and method (typically matching whatever the guest originally paid), and confirm. Freebo posts the refund to the Formance ledger so your financials stay clean.

Will offline payments show up in reports?
Yes. Every offline payment and refund appears in operator reports alongside online Stripe transactions. Revenue figures and outstanding balances account for all payment types together.
Can I record a payment against a reservation that was originally paid online?
Yes. You can mix payment methods on a single reservation — for example, a guest pays a deposit online and the remaining balance by check. Freebo tallies everything correctly.
