✦ Key takeaways

  • Three built-in roles cover the overwhelming majority of operator needs: Owner (full access), Manager (operations + financials, no account settings), and Staff (reservations and calendar only).
  • Invites go out by email — new team members create their own login. You never share your password or hand over your account.
  • Permissions are enforced at the API level, not just hidden in the UI. A staff member can’t see financial data by guessing a URL.

Sharing one login across your whole team is a liability. When someone leaves, you change the password and lock everyone out. When something goes wrong, you can’t tell who did what. And giving a dock hand access to your Stripe payouts because they’re on the same account is never a great feeling.

Freebo’s team roles let you add as many people as you need with the right level of access for their job.

Built-in roles

Owner — Full access to everything: products, scheduling, reservations, financial reports, team management, and account settings. Only owners can add or remove team members.

Manager — Access to operations and financials but not account or billing settings. Managers can manage products, schedules, reservations, and see revenue reports. They can’t change account credentials or payout settings.

Staff — Operations only. Staff can view the calendar, check reservations, log manual bookings, and access the daily manifest. No financial reports, no product editing, no account settings.

  1. Go to Team settings

Find the Team section in your account settings. You’ll see current team members and their roles.

  2. Invite by email

Enter your team member’s email and select their role. Freebo emails them an invitation that names you, your location, and the role, with a View invitation button. If the email can’t go out, the dialog shows you the invite link to copy and send yourself — and the link stays available on the Pending invitations card.

  3. They accept

The invitation opens in Freebo. They sign in with an existing Freebo login or create one, land right back on the invitation, and accept it. The invitation is tied to the email address you invited, and expires after 7 days.

  4. Revoke access any time

Remove a team member from the Team settings page. Their access is revoked immediately.

Can I have multiple owners on one account?
Yes. You can assign the Owner role to multiple team members. This is useful for business partners who both need full account access.
What if the invitation email doesn't arrive?
Open Settings → Team. Every pending invitation has a copy-link button, so you can paste the invite link into a text or a chat. If you'd rather start over, revoke the invitation and send a new one.
What happens to existing reservations when I remove a team member?
Reservations created by a removed team member remain intact. The reservation history is preserved — only the team member's login access is revoked.
